The details behind every customer interaction.

Explore each area to see the workflows, controls and connected information available to your team.

Conversations and teamwork

One customer history. A team ready for the next step.

TFlow brings messages from a customer’s linked accounts into one chronological conversation, with tools to reply, collaborate and find context.

  • One conversation across linked accounts
  • Assignment, human takeover and internal notes
  • Business context beside customer messages

Channels and replies

  • Bring WhatsApp Business, Messenger, Instagram Direct and TikTok Business Messaging into one workspace.
  • Automate replies to messages and eligible comments using your instructions and knowledge base.
  • Follow a comment with a private message where channel capabilities and policies allow.
  • Use available post context, with controls to reduce duplicate or competing replies.

Team collaboration

  • Assign a conversation to a person or department, manually or through routing rules.
  • Pause automated replies and let a teammate take over when needed.
  • Write internal notes and mention colleagues without showing those notes to the customer.
  • Use quick replies, tags and statuses to organize follow-up.

Customer context while you reply

  • See the customer’s saved contact details and fields in the same context.
  • Consult account statements and balances through an authorized business integration.
  • Review invoices, purchases and available order statuses from the connected system.
  • Move from the conversation to a linked lead, ticket, task or booking.

Search and follow-up

  • Search by name, phone, email or earlier message content.
  • Filter by channel while keeping the linked customer history together.
  • Filter by status, department and assignee to find work needing attention.
  • Review the activity history for assignments, status changes and events.

A shared history depends on linking accounts to the customer. Messaging, comments and media capabilities vary by channel and account permissions.

AI and your knowledge base

An assistant grounded in your sources and rules.

Give AI your organization’s knowledge and instructions. Choose when it replies, summarizes or takes an action, and when it hands over to your team.

  • Internal knowledge, Google Sheets and commerce sources
  • Supported media analysis and conversation summaries
  • Optional actions with usage controls

Providers and usage

  • Choose from OpenAI, Google Gemini and Moonshot Kimi model families, according to your setup.
  • Use managed credit or your own key with a supported provider.
  • Review available request records for model, tokens, tools and cost, and the ledger of credit top-ups, usage, adjustments and refunds.
  • Configure the response model, instructions and answer length for your team.

Knowledge sources

  • Use knowledge-base text and indexed attachments when enabled.
  • Connect Google Sheets for general information you want the assistant to use.
  • Combine text and semantic search when the relevant indexing is enabled.
  • Consult the connected commerce source for available product, price and stock data.

Replies and context

  • Use available conversation context instead of starting each reply from scratch.
  • Analyze supported images according to the selected model’s capabilities.
  • Transcribe supported voice messages and use their content in follow-up.
  • Summarize a conversation to help another teammate pick it up.

Actions connected to work

  • Gather order details, match products and ask for missing information before confirmation.
  • Find services and available times, and create a booking when booking tools are enabled.
  • Help create a ticket, task or lead through enabled tools and permissions.
  • Help update customer details extracted from the conversation according to your settings.

Supervision and handoff

  • Enable or disable automated replies by channel or conversation.
  • Define tone, business scope and the information the assistant may use.
  • Route a conversation to a person or department when handoff rules apply.
  • Track usage and credit, and use conversation-analysis indicators with human review.

Replies and tools depend on the provider, configuration, permissions and actual source data. AI usage is charged through managed credit or your provider account; the subscription does not include unlimited usage.

WhatsApp calling

Answer the call with the customer’s context.

Handle WhatsApp calls from your workspace and route them to the right team or an enabled voice assistant, with access to call history and available controls.

During a call

  • Mute and unmute using the available call controls.
  • Use the speaker or an available audio output according to the device.
  • Enter DTMF digits when supported by the route and current call state.
  • Hold and resume a call, with waiting audio where configured.

History and review

  • See a call’s start time, end time and duration in its record.
  • Record WhatsApp calls automatically or manually when recording is enabled.
  • Review available recordings in CRM according to your permissions.
  • Add call notes and a rating to support quality follow-up.

Voice assistance and answering options

  • Enable a voice-assistant profile for supported calls.
  • Configure its instructions, available voice and caller interruption behavior.
  • Route the caller and hand off to a teammate with available context.
  • Answer from the web or your organization’s app, and add a Yeastar route when needed.

Calling, controls and recording depend on the channel, route, device, permissions and your organization’s policy. WhatsApp calls within CRM do not require a PBX.

Services and appointments

From an appointment request to reminders and follow-up.

Organize services, resources and calendars. Let customers book or change an appointment in the conversation when AI booking is enabled.

  • Flexible services, resources and schedules

  • Manage resources such as clinicians, consultants, rooms and equipment.
  • Link each resource to its eligible services and use labels suited to your business.
  • Set working hours, breaks and leave to determine availability.

Booking in the conversation

  • Offer services and available times from actual schedule data.
  • Select resources by round-robin or least-busy policy as configured.
  • Collect the customer’s name and required contact details before completing the booking.
  • Choose whether AI bookings are confirmed automatically or require follow-up.

Changes and policies

  • Reschedule to an available time through the conversation when allowed.
  • Cancel a booking after checking that it belongs to the customer.

  • Manage appointments manually in a calendar and track their statuses.
  • Filter bookings by resource, service, customer and date.
  • Send confirmations, reminders and change notifications according to messaging settings.
  • Track attendance, cancellations, staff notifications and resource reports.

Automated booking and notifications require configured services, resources and an enabled channel. Bookings depend on availability; changes follow your organization’s policies and ownership checks.

Leads and sales

Turn interest into an opportunity you can follow up.

Connect each opportunity to its conversation, owner and next stage, then track value, invoices and outcome in a clear record.

  • Customizable sales stages
  • Leads connected to conversations and follow-up
  • Invoice links and won-or-lost outcomes

Your sales board

  • Create sales stages with names, colors and an order that fits your sales process.
  • View opportunities on a Kanban board and move them between stages.
  • Use a list view with search and filtering.
  • Set each opportunity’s priority and expected value.

Capturing opportunities

  • Create an opportunity from a conversation and link it to a contact.
  • Enable AI-assisted opportunity detection according to your settings.
  • Create leads from campaign replies when that workflow is enabled.
  • Set the source and initial stage, with available duplicate checks.

Invoices and outcomes

  • Attach a sales invoice or quotation from the connected system.
  • Use the linked invoice amount to update the opportunity’s value.
  • Share invoice information with the customer during follow-up.
  • Close an opportunity as won or lost and record the reason and details.

  • Assign an owner so everyone knows who is responsible for follow-up.
  • Set the next follow-up date and add related tasks.
  • Access conversations and tickets linked to the opportunity.
  • Review stage transitions, changes and activity history.

AI and campaign-based lead creation are optional. Invoice linking requires a working integration and permission to access the data.

  • Create the order in the connected system after required information and confirmation are complete.
  • Make the invoice link and status available for customer follow-up.
  • Create an internal order with a local reference when internal-order mode is enabled.

Payment options

  • Initiate a Stripe payment link when available and configured in the connected store.
  • Initiate a Yusor Pay payment through the supported integration.
  • Complete Yusor Pay OTP verification through the approved workflow.
  • Follow the actual payment result and order status returned by the provider.

Updates and additional integrations

  • Receive order events through the integration’s available webhooks.
  • Use available order and delivery statuses to give the customer a more informed answer.
  • Send updates through supported channels when their notifications are enabled.
  • Connect external systems through authorized APIs with defined access scopes.

Integrations and payment methods require appropriate provider accounts, configuration and permissions, and may carry separate fees. Data availability and freshness depend on the connected system. Customer-specific financial actions follow the required identity and order-ownership checks.

Tickets and tasks

Give every request an owner and every follow-up a due date.

Turn a customer’s request into clear work: a ticket with a priority and status, or an independent task a teammate can track to completion.

  • Create from conversations and assign to your team

Collaboration and ticket history

  • Add internal or customer-facing comments according to permissions.

Collect customer feedback and see where service can improve.

Request a rating after a conversation or set up a branch rating kiosk, then review results by employee, location and time period.

  • Ratings after a conversation closes
  • Kiosks with your organization’s branding
  • Employee and branch reports

Conversation ratings

  • Send a rating request when a conversation closes, according to your settings.
  • Collect a simple rating from one to five stars.
  • Link the rating to employees who participated in the conversation.
  • Use AI interpretation of text responses when enabled.

  • Customize the rating request to match your organization’s tone.

  • Ask for additional details after a low rating.
  • Set the response window and feedback follow-up rules.

Understanding the results

  • View the distribution of one-to-five-star ratings.
  • Review employee and branch averages separately.
  • Filter results by date and sort them for review.
  • Export available reports for sharing and follow-up.

Rating requests and messages follow enabled channels and policies. AI indicators assist interpretation and do not replace customer feedback or human review.

  • Manage scoped API tokens for templates, tickets and contacts.

Campaigns are subject to customer consent and provider template policies. Reports, channels and external actions follow enabled modules and granted permissions.

Optional Yeastar P-Series integration

Bring your phone system closer to your team.

Connect Yeastar P-Series to TFlow for customer context and employee extension mapping. You can also use the platform without owning a PBX.

Mapped extensions and departments

Synchronize extensions, queues and ring groups. Link each employee to primary or secondary extensions and each department to its receiving destination, with Yeastar remaining the directory source of truth.

Call from the customer’s context

With Click-to-Call, the employee’s extension rings first. After the employee answers, Yeastar calls the customer through the configured outbound route.

WhatsApp to your PBX

After SIP, DID and voice readiness are configured, a Yeastar inbound route sends the call to an IVR, queue, ring group or extension. DTMF is available on the ready voice path.

Context for the person who answers

The authorized employee linked to the answering extension sees the caller’s context. The call record can link to the conversation when a real phone number matches, and the call card closes when the call ends.

Keep your existing phone routes

Queues, ringing rules and SIP or GSM trunks stay in Yeastar. Browser calling becomes available after the voice path and outbound route are ready; changing the PBX destination can keep the same DID.

Tested setup, isolated for each organization

Connect and test OpenAPI, synchronize the directory, then map people and departments. Add DID and SIP only for the voice paths you need. Credentials stay out of the browser, and operational controls appear only after valid setup.

There is no separate integration add-on fee. Yeastar hardware or plans, trunks and telecom providers are billed separately. Browser audio and voice transfers require setup and testing; call records depend on provider capabilities and permissions.

What is TFlow CRM?

TFlow is a multilingual cloud platform for customer relationship management and customer service. It brings conversations, customer data, sales, bookings, tickets and calls into one workspace.

Which channels are supported, and can I keep the WhatsApp Business app?

TFlow supports WhatsApp Business Platform, Facebook Messenger, Instagram Direct and TikTok Business Messaging. Messaging, comment and calling capabilities vary by channel. Meta’s Coexistence mode can keep the WhatsApp Business app on the same number when the account and number are eligible.

How does the AI work, and how is its usage charged?

AI depends on your organization’s setup, provider, knowledge base and connected sources. It supports replies, summaries and optional actions such as bookings or ticket creation within available data and permissions. Usage is charged to managed credit or your provider account when you use your own key; the subscription does not promise unlimited AI usage.

Do I need a PBX phone system?

No. TFlow works without a PBX, including WhatsApp calling when the channel is enabled. Yeastar P-Series integration is optional and has no separate add-on fee. Yeastar hardware or plans, trunks and telecom provider costs remain separate.

What are the requirements and limits of the Yeastar integration?

Yeastar P-Series is the currently supported PBX provider. WhatsApp transfers and browser audio require SIP, DID, a trunk, suitable calling routes and successful readiness checks. CDR data depends on setup and permissions. Playing or downloading Yeastar recordings from the central portal, or summarizing them with AI, are not generally available operational features.

What if a WhatsApp customer hides their phone number?

Conversations and replies continue using the WhatsApp identity. PBX phone calling is not shown unless a real, callable phone number is available. The system does not invent a phone number.

How much does TFlow cost, and is there a free trial?

The published trial lasts 30 days with no credit card required. Professional costs $49 per month or $490 billed annually and includes up to 5 users. Enterprise is priced by quote. Usage depends on enabled features, and the AI and external service costs described in the pricing section may apply.

How do I choose my workspace language?

The primary language you select when creating a workspace sets the default for the interface, AI notes and call summaries. Saved individual language choices are preserved. Choose Arabic, English, Sorani Kurdish, Turkish or Chinese for the workspace. Signup and legal pages are available in Arabic, English, Sorani Kurdish and Turkish.

How do I choose the best CRM for my business?

Start with your customer channels, sales process and after-sales service, then compare team languages, permissions, integrations and total cost. Test a real journey from the first message to follow-up or resolution. Confirm calling eligibility, AI usage and external service costs, and choose a system your team can use every day for your actual business needs.
